Modules ready for this industry

The modules that matter most for your industry work right out of the box.

In short

A clinic does not have a sales problem; it has a response-time and no-show problem. Patient enquiries arrive on WhatsApp and Instagram in bursts, three clinics are being messaged at once, and the one that answers first and books a slot wins. So the setup for healthcare centres on a shared inbox that turns every conversation into a patient record, an appointment module with automatic reminders, a pipeline whose stages are events (consultation booked, consultation done, treatment planned), and permissions that keep front desk, consultants and doctors seeing only what they should. For health-tourism teams, the phone number's country code fills the patient's country and language automatically. Nothing here is a medical record system — it is the commercial and communication layer around one.

What selling healthcare actually looks like

Dental, aesthetic, hair-transplant, IVF and general clinics share a shape: the enquiry is cheap to make and the decision is expensive. A prospective patient sends the same "how much is an implant" message to three or four clinics from an ad, a friend's recommendation or a search. The reply that arrives first, in the patient's language, with a concrete next step — "we can see you Thursday at 14:00" — gets the consultation. The others get a polite silence.

The evidence on speed is old and unambiguous: a Harvard Business Review study of 2,241 companies found that responding within an hour made a lead nearly seven times as likely to be qualified as waiting even an hour more, and that the average response time was 42 hours. Clinics are not slower than other businesses; they are busier, and the person answering WhatsApp is also greeting patients at the desk.

The second shape is the no-show. A consultation that was booked and not attended is the single largest leak in most clinics' funnels, and it is invisible in a spreadsheet because it looks like a booked appointment. Making it visible — and reducing it with reminders — is worth more than any amount of ad spend.

The pipeline we recommend starting from

Every stage below is an event that happened or did not. "Interested" is not a stage.

Starting pipeline for a clinic — edit freely
StageVerifiable eventAutomation that usually helps
New enquiryFirst message or call receivedAssign owner within seconds; welcome message in the patient's language
ContactedA human repliedIf no reply from patient in 2 days → second message; in 5 days → task
Consultation bookedAppointment exists with date and doctorReminder 24 h and 2 h before
Consultation doneAppointment marked attendedNo-show → move back, task to rebook
Treatment plannedQuote or plan sentFollow-up task 3 days after quote
Treatment startedFirst session or depositDeal created with products (packages); stock and cost follow
Completed / LostFinal session, or explicit refusalReview request; lost-reason field required

The stage where patients die is between consultation booked and consultation done. Put the reminders there before you tune anything else.

Patient fields worth having

Custom fields for a clinic pipeline
FieldTypeWhy
Treatment of interestListRoutes to the right consultant; a report dimension

Ad campaign / ad set / adSystem fieldsFilled by the lead webhook; tells you which ad actually produced consultations
Lost reasonList, required on LostPrice, distance, went elsewhere, no response — the only way to learn

The lead-detail layout is configurable per role, so the front desk sees contact and appointment fields, the consultant sees treatment and quote fields, and neither sees a wall of forty inputs.

The inbox: where every patient starts

WhatsApp, Instagram DMs and Messenger land in one shared inbox. A new conversation creates a patient record automatically, with the full message history attached, and the phone number is normalised so the same person messaging from WhatsApp and calling later is one record, not two.

Two settings matter for clinics. Distribution: each channel can carry a list of people to whom unowned conversations are assigned in turn, so a new enquiry has an owner before anyone has read it. Working-hours reply: an inbound message outside shift hours can trigger an automatic reply — "we open at 09:00; your consultation slot is reserved until then" — which is the difference between a patient who waits and one who messages the next clinic.

Photos flow both ways: a patient sends a photo of a tooth or an area of concern, the consultant replies with before/after examples from the same thread, and everything stays on the record.

Appointments and the no-show

The appointment module is the clinic's second pipeline. A booking has a date, a duration, a doctor or room and a patient; it can be made by staff from the record or by the patient from an online booking page, and it sends reminders by WhatsApp, SMS or e-mail on a schedule you set.

  1. Book from the conversationThe consultant picks a slot without leaving the inbox thread; the record moves to "consultation booked".
  2. Reminders go outTypically 24 hours and 2 hours before, in the patient's language, through the channel the patient already used.
  3. Mark the outcomeAttended, cancelled or no-show. A no-show moves the record back and opens a task to rebook — the patient is not lost, only late.

For clinics with several doctors, the shift calendar decides who is bookable when, and the IVR on the phone line can route "press 2 for the dental department" to the right people in working hours.

Health tourism: country, language, time zone

Clinics selling to patients abroad have three extra problems: the patient is in another time zone, writes in another language, and needs travel logistics attached to the treatment.

  • Country and language are system fields, derived from the phone number's country code the moment the record is created, and editable afterwards. A switch rule can route German-speaking patients to the German-speaking consultant automatically.
  • Each user has their own display time zone. The London coordinator and the Istanbul clinic see the same appointment at the correct local time; storage is UTC.
  • Flight and hotel dates are just date fields, and date-based automations can fire from them — "arrival date minus 2 days: send the transfer details".
  • The interface itself is available in five languages — English, Turkish, Arabic, French, Italian — so a multilingual coordination team is not forced into one.

A day at the front desk

  1. 08:55 — clock inThe shift starts; response-time measurement starts with it, in working minutes.
  2. 09:00 — the overnight queueUnanswered conversations from the night, already assigned by distribution, with the auto-reply having held them.
  3. Through the day — book, remind, moveConsultations booked from threads; the pipeline moves itself as appointments are created and attended.
  4. 14:00 — the no-show listYesterday's no-shows appear as tasks; two messages and a call each.
  5. 18:00 — the manager's glanceResponse time by person, consultations booked by source, no-show rate by doctor. Three numbers, one screen.

Who sees what in a clinic

Front desk
Inbox, appointments, leads — view and edit, no delete; sees all patients but no prices or finance.
Consultant / patient coordinator
Own patients plus unassigned; quotes and treatment fields; commissions visible for their own deals.
Doctor
Appointments and the patients booked with them; no pipeline, no finance.
Clinic manager
Department scope over the whole clinic; reports, finance, activity log.

The activity log records who opened, edited and reassigned which patient record — a reasonable expectation for anything touching health data, and available from the Growth plan.

Numbers a clinic manager should watch

  • First-response time in working minutes — the number that predicts consultations more than any other.
  • Enquiry → consultation booked rate, by source and by consultant — which ads and which people convert.
  • No-show rate by doctor and by weekday — the leak; usually fixable with reminder timing.
  • Consultation → treatment rate — the consultant's real conversion.
  • Revenue and margin by treatment — with cost prices on packages, the treatment that fills the calendar is not always the one that pays for it.

What this is not

This is not a hospital information system or an electronic medical record. It does not store clinical notes, imaging, prescriptions or consent forms as medical documents, and it does not integrate with national health systems. Keep clinical data in the system built for it; keep the conversation, the appointment, the quote and the follow-up here.

It is also worth saying plainly that automated daily backups of your workspace are not currently part of the service. Export what you must retain.

Frequently asked questions

Is SaleInline a medical record or hospital system?
No. It is the commercial and communication layer around a clinic: enquiries, conversations, appointments, quotes, follow-up, permissions and reporting. Clinical notes, imaging, prescriptions and consent forms belong in a system built for medical records.
How do WhatsApp and Instagram enquiries become patients?
Connected WhatsApp, Instagram and Messenger channels land in one shared inbox. A new conversation creates a patient record automatically with the full history attached, the phone number is normalised so later calls match the same record, and channel distribution assigns an owner in turn so nobody waits for someone to pick it up.
Can appointments send reminders automatically?
Yes. Appointments have a date, duration, doctor or room and patient; reminders go out by WhatsApp, SMS or e-mail on a schedule you set, typically 24 hours and 2 hours before. Marking a no-show moves the record back and can open a rebooking task.
How does it help health-tourism clinics?
Country and language are filled automatically from the phone number's country code, so a rule can route patients to a consultant who speaks their language. Each user has their own display time zone, travel dates are date fields that can drive automations, and the interface itself is available in English, Turkish, Arabic, French and Italian.
Can I see which ad produced actual consultations?
Yes. Campaign, ad set and ad are system fields filled by the lead webhook. A pivot report of source or campaign by stage shows which ads reach "consultation done", not just which ones produce messages.
Can a doctor see only their own patients?
Yes. Roles control which modules each person may use, and data scope controls whose records they see — own, department or all. A Doctor role can be limited to appointments and the patients booked with them, with no pipeline or finance.
What about patient data privacy?
Each workspace has its own isolated database, hosting is in the Netherlands, two-factor login is available to every user, and on Growth and above the activity log records who viewed, edited or reassigned which record. Automated daily backups are not currently part of the service; export what you must retain.
Does it work for a single-doctor practice?
Yes. Leads, the inbox, appointments with reminders and the phone module are all on Starter. Automations, full roles and pivot reports arrive with Growth, which is where clinics with a front desk and several consultants usually land.
Can treatments be sold as packages with cost prices?
Yes. Treatments are products with a sale price and a cost price; when a treatment deal is won the cost is booked as an expense automatically and margin by treatment becomes visible. Deal profitability per case is a Business-plan feature.
